This Privacy Policy explains how LUXMNZ ("LUXMNZ", "we", "us") collects, safeguards, and isolates business information, client profiles, inventory serial numbers, and transaction records for luxury watch dealerships.

1. Single-Tenant Data Isolation
LUXMNZ enforces strict logical database isolation per boutique organization. Your serial numbers, supplier acquisition costs, margin percentages, and collector contacts are never mixed with or accessible by other dealerships.
Staff access within your workspace is controlled via nine role-based module permissions set directly by your organization administrator.
2. Financial Data and Wire Transfer Coordinates
Your bank coordinates (IBAN, SWIFT, and account numbers) are used strictly to stamp customer vector PDF invoices and payment reminder notifications.
LUXMNZ does not sell, broker, or monetize client or dealer transaction records. All payment ledger entries serve solely for your boutique's internal reconciliation.
3. VIP Catalog Links and Client Anonymity
When sharing live inventory via digital VIP catalog links, wholesale acquisition costs and internal profit margins are stripped at the database query level before delivery to the browser.
Public clients browse live inventory without creating accounts or revealing personal credentials until they voluntarily submit a timepiece inquiry.
4. Email Communications, Transactional Messaging & Dealer Broadcasts
All communications, client notifications, and invoices generated in LUXMNZ are transmitted via email through our authenticated delivery infrastructure. Outgoing emails fall into two distinct classifications:
- Transactional & Operational Messages: Essential notifications directly tied to active commerce, including sequential vector PDF invoices, bank wire payment instructions, automated payment receipt confirmations, insured courier tracking links (FedEx, DHL, UPS, Malca-Amit, Brinks), and account security alerts.
- Dealer Broadcast Communications (Showroom Plan): Curated timepiece availability announcements and boutique newsletters sent by subscribing dealerships strictly to their own existing, opted-in collectors and showroom contacts.
LUXMNZ policy strictly restricts broadcast emails to a dealer's own existing clients with whom they have an established business relationship or documented opt-in consent. Uploading purchased, scraped, or third-party email lists is strictly prohibited and constitutes grounds for immediate workspace suspension.
5. Opt-Out, Unsubscribe & Anti-Spam Compliance (CASL & CAN-SPAM)
We believe in complete recipient autonomy and full compliance with Canada's Anti-Spam Legislation (CASL, S.C. 2010, c. 23), the United States CAN-SPAM Act (15 U.S.C. 7701), and the General Data Protection Regulation (GDPR).
How Unsubscribe Works:
- Every broadcast and marketing-style email sent through LUXMNZ automatically incorporates a clear, conspicuous, and functional one-click unsubscribe link in the email footer.
- All broadcast messages include standardized RFC 2369 and RFC 8058
List-UnsubscribeandList-Unsubscribe-Postheaders, enabling native one-click opt-out across modern email clients (Apple Mail, Gmail, Microsoft Outlook). - When an unsubscribe request is initiated, the recipient's email address is automatically and instantaneously flagged as suppressed in the dealer's tenant database. No manual review is required, preventing any subsequent broadcast emails from being dispatched to that address.
Note: Transactional emails strictly required for active contracts or legally binding transactions (such as the delivery of a receipt or wire invoice for an ongoing purchase) are exempt from marketing opt-out but may be managed by contacting the dealer directly.
6. Automated Bounce Processing & Complaint Management
LUXMNZ employs automated real-time delivery telemetry and feedback loop (FBL) integrations to protect sender reputation, ISP goodwill, and network health:
If an email server returns a permanent bounce error code (such as mailbox not found, invalid address, or non-existent domain), Mail Station immediately tags the address as bounced and permanently suppresses it from all future broadcast and automated dispatches.
Temporary failures (such as recipient mailbox full or transient network timeout) are retried automatically with intelligent exponential backoff. If an address soft-bounces consecutively across multiple dispatches, it is automatically transitioned to suppressed status.
LUXMNZ is enrolled in ISP Feedback Loops with major mailbox providers. If a recipient marks a dealer message as spam, the complaint is processed instantly via webhook, and the recipient is permanently added to the dealer's suppression list. Dealership accounts that exceed a 0.1% complaint rate are subject to automatic email dispatch review and suspension.
7. Physical Address Coordinates in Commercial Mail
In strict accordance with CASL Section 6(2) and CAN-SPAM Section 5(a)(5), every commercial broadcast and notification email dispatched via the LUXMNZ platform includes the valid physical mailing address of the platform operator and the subscribing boutique.

Email communications
LUXMNZ sends transactional emails on behalf of the dealerships that use our service. These include invoices, payment reminders, shipping and tracking updates, and account messages such as sign-in links, password resets and staff invitations. Organization administrators can also send a single message to the members of their own organization. We send email only to people who have a relationship with the sending dealership or who are members of its workspace. We do not sell or rent email addresses. Payment reminders and organization messages include an unsubscribe link.
